Do not erase years of financial history before you know whether the file can be repaired. OneBooks reviews duplicate transactions, incorrect opening balances, missing activity, unreconciled accounts and previous-bookkeeper errors, then recommends whether the existing QuickBooks Online file should be repaired or restarted from a controlled starting date.

Most established businesses should repair the existing file because it contains financial history connected to prior tax returns, reconciliations, payroll, loans, customers and vendors. Starting over may make sense when the file is new, belongs to the wrong entity, contains little usable history, or a documented review supports a controlled restart.
The right decision depends on what is wrong with the file, not simply how messy it looks. A file with years of transactions may be difficult to clean up, but that history is also the reason it should not be discarded casually.
| Decision | Repair the existing file | Controlled restart |
|---|---|---|
| Best when | History can be supported and corrected | The file is new, wrong-entity or largely unusable |
| What stays | Transactions, audit trail, lists and reconciliation history | Validated opening balances and selected lists; prior detail remains in the old file |
| Main risk | Corrections must be sequenced carefully | History can be lost or split if the transition is poorly controlled |
| First step | Identify the last reliable period | Preserve the old company and export reports before restarting |
Neither option should begin with deleting transactions. First identify the last reliable period, compare QuickBooks balances with bank and credit-card statements, and determine which historical records must remain available for taxes, lenders, owners or your CPA.
Repair is usually the stronger choice when meaningful history can be verified against source documents, even when the file shows problems like these:
Even when several problems exist at once, the file may still be repairable. OneBooks reconstructs and reconciles records against bank statements, credit-card statements, payroll reports, merchant reports, loan statements and other source documents. Learn more about catch-up and cleanup bookkeeping.
A restart should be the exception, not the automatic response to a messy file. It may be reasonable when:
Preserve the original first. Keep access to the old company, export key reports, retain source documents and document the starting date and validated opening balances before creating or using a replacement file.
QuickBooks Online does not allow every company to be wiped and reused. Intuit permits a company to be purged only when it is less than 60 days old and uses QuickBooks Online Essentials, Plus or Advanced. Purging permanently deletes the company data. QuickBooks Online Simple Start companies cannot use that purge process.
If the company is 60 days old or older, or uses Simple Start, its data cannot be purged. Starting over means creating a new QuickBooks Online company with its own subscription. Keep the old company active until reports, lists and supporting records have been exported and the new file has been validated, and cancel it only after that.
These are software rules, not a recommendation to start over. Review Intuit’s current instructions for deleting data and starting over before any purge or cancellation.
A controlled restart requires more than opening a blank company. The transition plan should identify the validated starting date and the records needed to preserve continuity, including:
Restarting in the middle of a tax year can split one year between two QuickBooks companies. The transition should use a documented starting date, and both files must remain available so the full year can be assembled for tax preparation, 1099 reporting, payroll reconciliation, sales-tax support and financial reporting.
Book a free discovery call. We discuss the symptoms, affected periods, accounts, deadlines and the records you have. The call is not a diagnostic file review.
Provide the scoping information needed for a quote, such as the number of accounts, affected periods, approximate transaction volume and available source records.
Receive and approve one fixed quote that includes the diagnostic review and the corrective work described in the agreed scope.
OneBooks completes the diagnostic review included in the quote. After engagement, OneBooks compares the QuickBooks file with bank, credit-card, payroll, merchant, loan and other source records. If that review reveals a material scope change, OneBooks pauses, explains the additional work and obtains approval of a written revised quote before proceeding.
Receive a documented repair-or-restart recommendation. OneBooks identifies the last reliable period, explains what should be preserved and obtains your approval of the recommendation before corrective work begins. If the recommendation changes the agreed scope, the revised-quote process in step 4 applies.
OneBooks completes the approved work, reconciles bank and credit-card accounts, reviews balance-sheet accounts, has the work reviewed by a Certified ProAdvisor and delivers updated financial statements.
For reconciliation-specific problems, see QuickBooks bank reconciliation cleanup. The objective is to create books that agree with source records and produce financial statements your business, CPA or lender can use.
If a repair or restart changes balances from a year for which a tax return has already been filed, OneBooks documents the bookkeeping correction and coordinates the handoff to your CPA or tax preparer. Your CPA decides whether an amended return, tax adjustment or other filing action is required. OneBooks does not provide tax advice or prepare income-tax returns.
This cleanup engagement can reconcile bookkeeping balances to payroll reports, sales-tax returns and payment records supplied by the client. It does not include running payroll or preparing or filing payroll-tax or sales-tax returns.
QuickBooks cleanup projects typically fall into three fixed-price ranges: Basic Cleanup, $750–$1,500; Standard Cleanup, $1,500–$3,000; and Complex Cleanup, $3,000–$6,000. The applicable range depends on the number of accounts, transaction volume and condition of the file. These labels describe cleanup complexity; they do not mean that OneBooks will automatically start a new QuickBooks company.
| Cleanup tier | Fixed-price range | Typical timing |
|---|---|---|
| Basic Cleanup | $750–$1,500 | One to three weeks |
| Standard Cleanup | $1,500–$3,000 | Three to six weeks |
| Complex Cleanup | $3,000–$6,000 | One to two months |
If the books are also behind, catch-up pricing runs from $300–$750 for one to three months behind up to $6,000–$9,000 for two to three years behind; backlogs of more than three years are quoted on request. When a project requires both catch-up and cleanup work, OneBooks provides one combined fixed quote based on the total scope. The published ranges are guides and are not separate fees automatically added together. The diagnostic review is included in that fixed quote; it is not an extra fee. For most catch-up and cleanup projects, 50% is due to start and the remaining 50% is due at completion. If the diagnostic review reveals undisclosed accounts, periods or other conditions that materially change the agreed scope, OneBooks pauses and obtains approval of a written revised quote before additional work proceeds.
Cleanup-only projects generally take one to three weeks for Basic Cleanup, three to six weeks for Standard Cleanup and one to two months for Complex Cleanup. Projects involving up to twelve months of catch-up work generally take several weeks. One-to-two-year backlogs generally take one to two months, and two-to-three-year backlogs generally take two to three months. For backlogs of more than three years, OneBooks provides the expected timeline after reviewing the records. Timing also depends on transaction volume, account count, file condition and how quickly source records are provided.
See the catch-up bookkeeping cost guide for additional pricing factors and timing information.

Once the file is reliable, you can maintain the books yourself or move to OneBooks monthly bookkeeping, from $300 per month and month-to-month, so the accounts stay current and reconciled.
Most established businesses should repair the existing file because its history supports prior returns, reconciliations, payroll, loans, customers and vendors. Start over only after a documented review supports a controlled restart.
Yes. OneBooks reviews opening balances against prior statements, reconciliation history, tax records and other supporting documents, then determines the correction or reconstruction required.
OneBooks can review inherited bookkeeping without requiring the prior bookkeeper to finish the work. The existing QuickBooks Online file and source records are usually enough to begin. See what to do when your previous bookkeeper left the books a mess.
Not if you preserve the old company first. Keep the old QuickBooks Online company active while the transition is completed. If the subscription is later canceled, Intuit currently provides read-only access for one year and allows exports during that period. Export the reports and lists before cancellation whenever possible, and complete any remaining exports within the one-year window. The new file starts at a validated starting date, while prior-year detail remains in the preserved old file and exported records.
Only in limited circumstances. Intuit permits a purge when the company is less than 60 days old and uses QuickBooks Online Essentials, Plus or Advanced. Simple Start companies and companies 60 days old or older must use a new QuickBooks Online company and subscription.
The year may be split between the old and new QuickBooks companies. Use a documented starting date, preserve both files and coordinate with your CPA so the complete tax year can be assembled and any correction affecting a previously filed period can be evaluated.
Yes. After repair or restart work is complete, OneBooks can provide monthly bookkeeping to keep the accounts current and reconciled.
